Videoconference (VC) Scheduling

Spring 2022 Instruction Guidelines from Provost's Office (updated 11/5/21).

14. WSU Videoconference (VC) Course Policy

Video conference courses will originate from and be delivered to VC classrooms located on the WSU Campuses or WSU Extension sites unless otherwise approved by the department chair. This ensures adequate technical and user support, creation of peer communities within the course, and provision of high-touch student support.

EPPM, Section 14

Videoconference/Zoom Exception Request

Department Chair approval is required for VC classes taught in exception to EPPM 14.

Use the Videoconference/Zoom Exception Request form to send an approval request to the Department Chair and document approval of exceptions to EPPM 14. Current VC/Zoom Exception Requests Report.

Technical Support

AOI provides technical support when a Videoconference course is taught in a VC (82) Classroom. Departments accept the responsibility for providing technical support when they do not utilize an official VC GUC classroom.

The term VC (82) Classroom refers to classrooms that meet all the criteria for the GUC Room Characteristic 82, including standard 81 room equipment, plus VC equipment, front/rear confidence monitor, and front/rear PTZ camera. Most department "Zoom rooms" do not meet this standard and are not considered a VC (82) Classroom. AOI does not provide technical suport for non-GUC rooms nor other instruction modes. More information about Room Characteristics.

Coding a VC Section

Videoconference sections are coded in Maintain Schedule of Classes > Basic Data tab. Fields to update: Location, Instruction Mode, and Class Attribute.

Location

Code location based on where the students will attend the class. When the students will attend from multiple locations, use the location code 999. The example below shows a section delivered at the Pullman campus (100).

Instruction Mode

Updated 11/8/21. There are four new Videoconference instruction mode codes, two for originating sections (VC and VO) and two for receiving sections (VR and VS).

Originating Sections

There are two VC instruction mode codes for the originating section.

  • VC - Videoconference. The instructor is teaching from a VC (82) classroom with students in the room.

  • VO - Videoconference Other Room. The instructor is teaching from a non-VC (82) classroom with students in the room. This could be a department room. AOI does not prove technical support for this instruction mode.

Receiving Sections

There are two VC instruction mode codes for receiving sections.

  • VR - Videoconference Receiving. The students are receiving instruction in a VC (82) classroom.

  • VS - Videoconference Streaming. The students are receiving instruction in a non-VC (82) classroom or non-classroom environment and are able to interact with the instructor. Instruction may be in a department room or on a student's personal device. AOI does not provide technical support for this instruction mode.

Class Attributes

AOI uses the Class Attribute to set up connections between courses. This attribute is added to all sections and is always set to the Originating campus. The example below shows a section that is originating in Pullman, though it could be a section that is either receiving or originating or instructor only. AOI provides support to GUC rooms only.

Example Sections

VC Originating section - VC (82) Room

VC class originating in Pullman and taught from a VC (82) Classroom.

VC Originating Pullman

VC Originating section: Non-VC Room

VC section originating in Pullman and taught from a non-VC (82) Classroom.

VC Originating Other Room

VC Receiving section - VC (82) Room

VC section originating on the the Tri-Cities campus and received on the Pullman campus.

VC Receiving from TC

VC Receiving section - Non-VC Room

Basic Data tab

Enrollment Control tab

  • Requested Room Capacity: 0
  • Enrollment Capacity: 0 (this hides the section from the Schedule of Classes)

Examples

Requesting a VC room

Requests a VC capable room in Maintain Schedule of Classes > Meeting tab

Facility ID: Add the VC room placeholder by campus:

  • Pullman: VC_PUL
  • Everett: VC_EVE
  • Spokane: VC_SPK
  • Tri-Cities: VC_TRI
  • Vancouver: VC_VAN
  • Arranged: VC_ARR (used for Extension sites)

Room Characteristic: 82 (VC room)

VC Facility ID coding

Videoconference approved GUC spaces are very limited. The Registrar's Office cannot guarantee that every request for VC_PUL can be honored with a VC space; another room will be scheduled, if available. In these instances, the department is responsible for providing the needed IT support to provide a positive student experience. AOI does not provide VC support for sections scheduled in non-VC spaces.

Synchronous Remote

  • Videoconference (VC) - Receiving Campus: Live instruction via Zoom or other technology, specific day/time, multiple campuses. Receiving campus may receive content in a Videoconference room or on a personal device. Updated! When no students are attending in a VC equipped room associated with a WSU property, the section must be blended with a Global section.
