Proofing Instructions

Proofing occurs in the Schedule Builder applications in myWSU. The primary applications are:

  • Maintain Schedule of Classes (MSC): The primary scheduling application. Save after entries on each page. It can be unreliable; use Schedule Class Meetings if you are having problems. If Meeting Pattern or Instructor are grayed out, the course is combined and must be edited in Schedule Class Meetings.
  • Schedule Class Meetings: Use for courses that are Combined to change Meeting Pattern and/or Instructor for Conjoint, Crosslisted, VC, or blended courses. It is more reliable than MSC and can be used if MSC isn't saving your notes or approvals.
  • Schedule New Class: Use to start a section when you can't find it in MSC. Just start one section in the Basic Data Tab, SAVE, then finish setting up the course in MSC or Schedule Class Meetings. Do NOT approve courses in Schedule New Class - it will not save.

Helpful OBIEE Reports 

OBIEE Reports can show you which sections are approved, the instruction mode, day/time, instructor, and facility. More information on OBIEE Reports is under Instructions.


Section, Associate Class, Primary Instruction Section

Class Section number

  • Use a zero (0) before single digit section numbers. Example: Section 02
  • Associate Class and Primary Instr Section should match Class Section unless the class is a lab.

Associated Class number

Associated class links lecture and lab courses and assigns units. Most lecture sections should use an Associated Class number that matches the Section number. You will not be able to change the variable units of a course independently unless it has its own associated class number.

  • Lab courses link the lab to the lecture using associated class number.
    • 9999: Allows the student to take any lab with the same catalog number with any lecture
    • To limit the lab to specific lectures, match the associated class number to the same one as the lecture.

Primary Instruction Section number

This number is used to link sections together in the LMS, which is Canvas starting Fall 2021. Use the magnifying glass to select the Primary Instruction Section number. Combined courses will link sections for the LMS using the Combined Section table. This must be performed by the campus scheduler. 


Meeting Pattern

Facility ID placeholders

  • GUC_TBS: GUC is desired
  • VC_PUL: Videoconference room is desired
  • WEB_ARR: Web Arranged. The course is taught Synchronous but without a room.
  • ARR_ARR: Department Room determined internally for face-to-face delivery.  
  • "blank": Facility is left blank when there is no time/day.  Do not add ARR_ARR.

Room Characteristics

Update room characteristics to match the type of room that you wish Optimizer to assign. You may view the characteristics of GUC spaces on the GUCs page.


Enrollment Capacities

  • Requested Room Capacity (RRC) determines the size room requested. This number must be changed by a campus scheduler after the course is approved.
  • Enrollment Capacity determines the number of students who can enroll. This number may be changed at any time. If this number is 0 (zero), the course will not appear in the Schedule of Classes.

Waitlist Capacities

Waitlist allows students to add themselves to the waitlist for classes that are full. The waitlist eliminates the need for students to watch the schedule of classes for an opening in a full class. 999 is the recommended waitlist capacity.

Here are a few features of Waitlisting:

  • When a student requests to be on the waitlist, prerequisites are checked.  If the student does not meet the prerequisites, he or she will not be added to the waitlist.  (Note that prerequisites may be met through in-progress course work at WSU and through transfer equivalencies.)
  • When a student is placed on the waitlist, he or she is given the next available waitlist position.  When a seat opens up, the first student on the waitlist is enrolled in the class.
  • Enrollment from waitlists will observe general enrollment constraints, such as time conflicts and the limit of 22 total hours.  However, the student will remain on the waitlist and will be enrolled in a subsequent automatic review of the waitlist, if the time conflict or total hours constraint has been resolved.
  • 999 is recommended because this wide-open capacity will give every department complete information about the number of students interested in enrolling in classes sections. Departments can revise the default capacity, as desired.
  • Students will be allowed to waitlist an unlimited number of sections.

Combined Courses

Crosslisted Courses

Departments with crosslisted courses must coordinate the scheduling of these courses.  The parent department will establish the time, seats available, and room.

Conjoint Courses

University regulations require that both the 400- and 500-levels of conjoint courses be open for enrollment.  Additionally, both courses must be scheduled in the same classroom with the same meeting times.

Blended Courses

Blended courses are courses offered through WSU Global Campus and have sections on each campus. These courses are set up by the Global Campus and should not be altered by department schedulers. If you wish to add a new blended course, please contact the Global Campus

Blended courses are coded as follows:

  • Location: 040 Global Campus
  • Instruction Mode: 30 100% Web-based instruction
  • Class Attribute: NOTE: VIRTUAL
  • SOC Notes are added to direct the student to the course information.
    • URL: Sequence number 1 is used for URLs
    • Freeform Note: Sequence number 2 is used for a note that appears in the Schedule of Classes

Videoconference (VC) courses

VC courses have both an Originating Site and a Receiving Site and are offered between multiple campuses. Permission is required by the department/registrar at each campus.

VC courses are coded:

  • Location: Location where the course will be viewed
  • Instruction Mode: 
    • Originating Campus: P, SO, HY, or 40. This is determined by how often students will receive in person instruction. More information on Instruction Modes.
    • Receiving Campus: 40 whether students receive content in a classroom or on their own device. An SOC Note should be added to describe the learning experience.
  • Class Attribute: VC: Originating at XXX (lists the Originating Campus)
  • Facility ID:
    • VC_XXX if a Videoconference capable GUC is requested.
    • WEB_ARR if the student will receive content on a personal device.

 

Schedule of Classes

The RONet Schedule of Classes is maintained by Enrollment Management on the Pullman campus. Questions about the SOC should be directed to the Pullman Campus Schedulers.

Topics Courses

Topics courses may have a Topic that will be listed on the students transcript. This can be entered by the department scheduler before the course is APPROVED. Leave a Notes/Request after the course is approved. This field is only available for Topics courses.

Arranged Courses

With the exception of web-based sections, lower-division sections should be submitted with a specific time/day. Upper-division and graduate courses submitted with an arranged time must be scheduled by the department after registration without disruption of the students' schedules.

Variable Unit Courses

Courses approved for variable units may be scheduled as follows:

  • If the department doesn’t change a variable unit course in the V. Units column, then students may enroll for any unit value within the range of variable units allowed (Example: a course that is V 1-4, each student could choose 1, 2, 3 or 4 units).
  • The department may choose to offer a variable unit course for a specific unit amount for a given semester. Leave a Notes/Request to restrict the value of a section to a specific number of credits. The section must not use the same Associated Class number as another section with different units.
  • Variable Unit values cannot be changed after students are enrolled.
